I hear this all the time from business owners I coach: “I have too much to do,” “I get interrupted constantly,” “I’m working all day but not getting to what really matters.”
And the core issue? They’re treating all time as if it’s the same.
Spoiler alert: it’s not.
Some hours are golden. Others are… party glitter in the mashed potatoes. The key to finally feeling in control of your time again is to stop treating all tasks—and all hours—the same.

The Real Problem Isn’t Your To-Do List—It’s How You’re Using Your Time
Most overwhelmed business owners fall into a trap: They try to squeeze deep, meaningful work in between emails, texts, Slack pings, and impromptu meetings. Then they wonder why they can’t make progress on the big stuff.
The truth? Deep work and shallow tasks need different types of time.

What Is the OptiFocus Method?
The OptiFocus Method helps you divide your day—and your tasks—into two categories:
1. Deep Work Tasks

They require focus, creativity, and more uninterrupted time.
2. Lightweight Tasks
These are the admin things—checking email, scheduling, updating a spreadsheet.
Quick wins you can do even if you get interrupted.
Once your tasks are divided, you’re not just hoping to “find time” anymore. You’re intentionally designing your schedule around the way your brain works best.
Step 1: Identify Your Optimal Deep Focus Time
This is your prime brain real estate.
And it’s different for everyone.
For me, it’s early morning—around 5 to 6 a.m. That’s when my mind is sharp and ideas flow freely. My husband, on the other hand, doesn’t hit his groove until after 10 a.m.
You need to consider two things:
- When does your brain naturally perform best?
- What’s realistic with your lifestyle? (Kids, clients, etc.)
Once you’ve figured that out, protect that time like it’s a spa day for your business.
Step 2: Schedule Deep Work in 90-Minute Blocks
This is your focus fortress—no distractions allowed.
Aim for:
- Two 90-minute sessions per day, if possible
- A 15-minute mental reset between them (take a walk, stretch, breathe)
This might feel like a big ask, but here’s the secret: If you nail just those three hours of focused work each day, the rest of the day can be filled with the whirlwind—and you’ll still end the day feeling productive and in control.
Step 3: Batch Lightweight Tasks Using the 20/5 Rule
This is where we bring in a modified Pomodoro Technique:
- 20 minutes on a lightweight task
- 5-minute break
- Repeat as needed throughout the day
That 20-minute timer helps your brain focus because it knows a break is coming. And because these tasks don’t require deep focus, interruptions don’t throw you off as much.
It’s like tidying up the party after the guests have gone home—still work, but way easier with music on and a glass of wine.

When you work with your brain—not against it—you stop spinning your wheels.
You’ll get the deep work actually done instead of just thinking about it. You’ll blast through lightweight tasks without them taking over your whole day. And best of all, you’ll end your day with energy still in the tank—and that magical feeling of, “I crushed it today.”
